  3. Confirmation of minutes of the previous AGM dated Wednesday 21st October 2020 – a summary of what was discussed.
  4. Correspondence – important letters, email and faxes from your club.
  5. President’s Report – an overview of the activities and aims of the club includes Patron & Patroness Report if available.
  6. Committee’s report – an overview of the club’s financial reports and the clubs finances.
  7. Notice of any new committee members up to 6, or any other people co-opted. And nominations for President, Secretary, and Treasurer.
  8. General business – anything that hasn’t been covered by the President or Treasurer. Confirming the date of the next meeting.
  9. Close of meeting.

ANNUAL GENERAL MEETING

Held at clubrooms, Guthrie Pavilion, Bayfield Park, Anderson’s Bay, Dunedin

Held on Wednesday 21st October 2020

Meeting opened at 6.45pm

WELCOME:  David Crewe (President)

PRESENT:

David Crewe (President & Life Member), Nola Crewe (Acting Secretary), Wayne Allen (Life Member), Bev Allen, Alan Moir (Life Member), Blair Harrison, Paul Macshane, Russell Lund, Brent Halley (Treasurer & Life Member).

APOLOGIES:  Netty Lastovicka, Sian Ellis, Katrina Horne, Dalise Sanderson, Xaviour Walker, Jennifer Walker, Lucy Summers.

Minutes of Wednesday 23rd October 2019 AGM taken as read.

MATTERS ARISING:

  • The minutes had not been emailed. Apologies from Nola.
  • As at 5:30pm tonight we have 104 members. Largely children. We have 10% of our members here to go on with meeting.
  • As per constitution President, Secretary and Treasurer needs voting.
  • Rotary Park Cross Countries - dangerous previously, with now not crossing the road and having 5 laps is better said Wayne.

FINANCE:

TREASURER’S REPORT

Brent ran thru the figures. (see General Business for further info). General comments given. Discussion. $1,700.00 surplus in draft accounts.

Bonus Bonds expire soon – with winding up may give us extra dividends. Work in progress….Brent would like to close a couple of accounts etc.

CHILDREN’S SUB COMMITTEE:

Sian and hopefully some parents available? To be confirmed. Dave said it would be good to have two delegates for the main Committee.

GENERAL BUSINESS

  • President: David advised 2020/2021 would be his last year as President. He is keen to get someone new hopefully over the year.
  • Secretary: Nola agreed to again do another year as Acting Secretary.
  • Treasurer: Brent happy to continue.
  • Records: gathering and putting up on our website/email/Facebook Nola is looking at the need of someone helping on those tasks….. Alan said we’d had a couple of good results lately.
  • Phone around marshals for events – Paul is happy do this.
  • Kids XC Series went well for us. Covid-19 virus affected a lot of events over the season.
  • Membership – we need to look at that said Brent.
  • GSG (Get Set Go Program we run for children) – Dave said last night was fantastic re numbers. And the RJT (Run Jump Throw) program had 17 new children last week. Discussion was had.
  • New children details: Lucy was asked to update her with new people by Dave so she can email mail chimp communications out. However he can’t get ages easily though…
  • NZ Cross Country – great it went thru, Otago Cross Country was an excellent atmosphere despite Covid-19. We hope we will get it next year again in Dunedin.
  • Constitution re our draft 2020 financial figures to March 2020 Brent said they’d been out a few months now. He needs to concentrate and file them, and then they will need circulating.
